Data Entry / Operations Office Specialist - Carlsbad, CA

KBS Golf Shafts by FST is looking for a Data Entry/Operations Office Specialist to join our growing brand in Carlsbad, CA.

You will report directly to all KBS managers respectively, and be expected to fulfill the duties and responsibilities below.

Duties

Reporting and analysis

• Cover analysis by evaluating new market and sales prospects
• Prepare sales and operations trends and numbers, including weekly reports
• Develop monthly budget analysis and prepare monthly sales activity reports
• Track and store monthly sales and production reports
• Evaluate information and prepare reports, plus the rate analysis required by management and sales staff
• Provide sales vs. projection results by preparing sales tracking reports
• Track sales expenses by consolidating, analyzing, and summarizing them, then forwarding for reimbursement

Sales and account support

• Prepare packages, proposals, and supporting information for presentations delivered by the sales and service team
• Support the development of sales and marketing operations collateral
• Prepare sales and operations presentations by compiling data and developing presentation formats and materials
• Support the forecasting process and advise the sales force on sales transactions
• Run the installation and renewal process for current and new accounts
• Suggest creative pricing and payment solutions that balance customer need against pricing policy

Orders, pricing, and fulfillment

• Resolve order and inventory problems by investigating data and history, identifying alternate means of filling orders, and notifying managers and customers
• Resolve promotional allowance, rebate, and pricing discrepancies by researching promotion details and both regular and special prices, then forwarding the resolution to managers
• Review quotes and order forms for accuracy and completeness
• Ensure all orders are approved within pricing and discount policies
• Arrange shipment and shipping to customers
• Provide product, promotion, and pricing information on customer request, selecting and forwarding the right information and answering questions

Data and systems

• Maintain the promotional database
• Maintain the customer database by inputting customer profiles and updates, then preparing and distributing monthly reports
• Work closely with key KBS employees to capture requirements, review operational processes, and identify inefficiencies and opportunities for automation wherever possible

Office and team support

• Assist every member of the Carlsbad office sales and operations staff
• Prepare everything the Tour Representatives need
• Provide assistance with telephone coverage
• Update managers consistently with daily action summaries
• Collaborate with both offices, Carlsbad and Boulder, on finance and legal matters as needed
• Fully collaborate with Sales, Operations, and Marketing, and support the sales organization's requirements
• Accomplish the department and organization mission by completing related results as needed
